The purpose for processing the personal data / the purpose for the use of a register 

Mailing the Fulbright Finland Alumni Message and/or mailing invitations to events organized by the Fulbright Finland Foundation; and/or informing about the Fulbright Finland Foundation’s events, grant programs and other news items. 

Personal data in the alumni register is used to help administer alumni memberships, relations, activities, and communications as well as for the Fulbright Finland Foundation alumni operations and program promotion purposes. The data may also be used to generate statistical information for the Foundation’s use.

  • E-mail addresses 
  • Birthdate
  • Title
  • Organization
  • Phone numbers
  • Home and/or work address
  • Gender and nationality
  • Grant term related data which doesn’t require updating after the grant term.  

Only first names, last names, and email addresses are shared with Liana Technologies Oy which the Foundation uses to send out the Fulbright Finland Alumni Letter and Fulbright Finland Message.

  • By giving consent at e.g., at a Fulbright Finland Foundation event or during email correspondence 
  • Publicly available sources

Our alumni and supporters are extremely important to us and thus we aim to keep our alumni data as up to date as possible, and we will conduct projects to check the contact details we have for you are correct, and, where appropriate, update them. As a result, some of the data may also have been obtained from publicly available sources – for example, we may find a new title for you from your post in LinkedIn or organization websites.

Regular destinations of disclosed data and whether the data is transferred to countries outside the European Union or the European Economic Area 

Recipients of the Fulbright Finland Alumni Letter: Personal data is stored in the European Union or the European Economic Area and is not transferred outside of it. 

Recipients of the Fulbright Finland Message: Personal data is stored in the European Union or the European Economic Area and is not transferred outside of it. However, the Fulbright Finland Foundation reserves the right to share your contact information with the Finnish Embassy in Washington DC and the two Finnish Consulates General (NYC and LA) for the sole purpose of communication of their events, projects and meetings that might be of interest to you.

The principles how the data file/register is secured 

Your personal data is processed by the Fulbright Finland Foundation and is stored at the Fulbright Finland Foundation’s data registry located at Hakaniemenranta 6, Helsinki, Finland, at the server hosted by Oosis Oy in Finland and at the service provider Liana Technologies Oy server located in Finland. 

The data stored at Fulbright Finland Foundation is secured and protected by firewalls and other technology and is accessible only to selected individuals. Fulbright Finland Foundation processes your data according to regulations. 

Service providers Oosis Oy and Liana Technologies Oy are responsible for the technical protection and data security of the information stored in their servers.  

The data subject rights 

Data subjects are entitled to view stored information about themselves, they have the right to demand changes to erroneous information and incomplete information to be completed or deleted if there are no legal grounds to store the information. The data subjects are also entitled to request restrictions to the processing of their information, to oppose the processing of information pertaining to them and the right to transfer information pertaining to them from one system to another. 

The data controller may request the person making the request for proof of identity when necessary. The data controller will send a reply to the client within 30 days. 

The data subject has the right to withdraw their consent at any time provided the withdrawal does not affect the legality of previous processing done on the basis of the previous consent.
